What are the Different Ways to Protect my iGUIDE?
There are 4 ways to protect your iGUIDE, and each have their own uses which are explained in this article:
- Locking your iGUIDE
- Enabling Protected mode on your iGUIDE
- Creating a Unlisted View for your iGUIDE
- Setting the expiry date for your iGUIDE URL
What Does it Mean to Lock my iGUIDE?
When you lock an iGUIDE it will remove the iGUIDE from the public eye. Reasons to Lock your iGUIDE would be if the property sold and the owners wish to remove the iGUIDE, or if you wish to edit your iGUIDE and don't want to reveal it publicly until you finish your edits.
How To lock/unlock your iGUIDE
Step 1: Log into the iGUIDE portal.
Step 2: Go to the section "My iGUIDEs".
Step 3: Click on the title of the iGUIDE you wish to lock/unlock. This will move you to the "Show iGUIDE Details" section.
Step 4: Scroll down to the "iGUIDE User Views" section. In this section you will see a box with the "Lock" or "Unlock" button.
What is Protected Mode?
Protected mode only allows the manager, editors, and the viewer list for the iGUIDE to actually view the iGUIDE. In order for them to view the iGUIDE they will need to log into the iGUIDE portal. Protection mode also ensures the iGUIDE is not available to be searched for online, and prevents indexing.
How to turn Protected mode on/off:
Step 1: Log into the iGUIDE portal.
Step 2: Go to the section "My iGUIDEs".
Step 3: Find the iGUIDE you wish to edit and press the blue "Edit" button. This will bring you to the Edit Default View page for that iGUIDE.
Step 4: Scroll down to the "Protection" section. In this section you can turn Protected on or off, and you can add viewers that will have access to see the iGUIDE when Protected is turned on.
Step 5: Scroll to the bottom and click "Save" after any changes.
What is an Unlisted View?
An Unlisted View is a new view for an iGUIDE that removes the iGUIDE from being searchable online, but creates a unique URL for the iGUIDE that can be shared the same as the default view. This is a useful tool for operators who wish to share their iGUIDEs only through the URL, but also does not wish their iGUIDE to be searchable online. Also note that unlisted views can also have Protected mode on them, which you can turn on/off by pressing the blue 'Edit" button for the unlisted view.
Here is how to create an Unlisted View:
Step 1: Log into the iGUIDE portal.
Step 2: Go to the section "My iGUIDEs".
Step 3: Click on the title of the iGUIDE you wish to lock/unlock. This will move you to the "Show iGUIDE Details" section.
Step 4: Scroll down to the "iGUIDE User Views" section. In this section you will see a box with the "Lock" button. Press the "Lock" button and a pop-up will appear.
Step 5: On the pop-up you will want to click on the "Lock and create a new Unlisted View" button. Pressing this will automatically lock the original iGUIDE view, and create a new view with a unique URL.
What is the Expiry Date for my iGUIDE?
Every iGUIDE View has an expiration date which is automatically set for one year after the iGUIDE is originally drafted. This expiration date is specifically for the public URL for the iGUIDE, and does not mean the iGUIDE itself has an expiration date. Once the expiration date has passed the iGUIDE automatically becomes locked and is no longer viewable for the public. However, the expiry date can always be changed and extended, even after it has passed.
How to update the iGUIDE Expiry Date:
Step 1: Log into the iGUIDE portal.
Step 2: Go to the section "My iGUIDEs".
Step 3: Find the iGUIDE you wish to edit and press the blue "Edit" button. This will bring you to the Edit Default View page for that iGUIDE.
Step 4: At the top of the Edit View page you will find the Expiration Date section. In here you can open up a calendar and set the expiration date.
Step 5: Once you have made your change make sure to scroll down to the bottom of the page and press the blue "Save" button, otherwise your changes won't carry over.
