Overview
The iGUIDE Portal uses account types and roles to control who can create, upload, edit and manage iGUIDEs. There are three account types (Operator, Sub-account and User) and four roles (Editor, Manager, Subscriber and Primary Contact).
Your account type decides what you can do on the Portal overall, such as uploading scans. Your role on a specific iGUIDE decides what you can do with that iGUIDE.
Need to upload scans? You need an Operator account or a Sub-account. Only Operator accounts and Sub-accounts can upload scans and create iGUIDEs. These accounts are invitation-only, so you can't get one by signing up on the Portal yourself. If you registered on your own, you have a User account. A User account can view and edit iGUIDEs you've been added to, but it can't upload.

Account types on the iGUIDE Portal
Operator account
The Operator account belongs to the main iGUIDE Operator, usually the business owner or the person who bought the camera. There can be only one Operator account per camera.
How to get an Operator account
When you buy a camera, iGUIDE automatically sends an invitation email to [the purchaser's email address]. Open it and follow the link to finish setting up your account at manage.youriguide.com.
The invitation link expires after 7 days. If it expires before you use it, you'll need a new invitation.
- Can't find your invitation? Check your spam or junk folder for an email titled "You have been invited to the iGUIDE Portal".
- Invitation expired? Contact Support with your camera serial number and we'll send you a new invitation.
- Already signed up with that email? If you created a User account with the email address you want to use, Support can convert it to an Operator account. Contact Support with your camera serial number and that email address.
What an Operator account can do
- Upload scans and create, edit and manage iGUIDEs
- Invite Sub-accounts for team members such as photographers, office staff or administrators
- See and manage every iGUIDE created by its Sub-accounts
- Pay for iGUIDEs created by the whole team from one central billing account
- Disable or release Sub-accounts at any time
- Request Updates and Report Errors when assigned as Manager or Editor
Sub-account
Sub-accounts are for people on the same team as an Operator. With Sub-accounts, the team uploads under one central billing account, and the Operator has access to every iGUIDE the team creates.
Sub-accounts are invitation-only. The Operator sends the invitation from their account, and the team member gets an email to finish setting up. See How to Set Up and Manage Sub-accounts.
If your Sub-account invitation expires, ask your Operator to send a new one.
What a Sub-account can do
- Upload scans and create, edit and manage iGUIDEs
- Bill iGUIDEs to the Operator's account
- Request Updates and Report Errors when assigned as Manager or Editor
User account
Anyone can create a User account by signing up on the Portal. No invitation is needed. User accounts are for people outside the Operator's team, such as real estate agents, homeowners or other clients.
What a User account can do
- View and edit iGUIDEs they've been added to as Editor or Manager
What a User account can't do
- Upload scans or create iGUIDEs
- Request Updates or Report Errors, even when assigned as Editor
If you need to upload scans, you need an Operator account or a Sub-account instead. See the FAQ below.
Role types on the iGUIDE Portal
Roles are assigned per iGUIDE. One person can have different roles on different iGUIDEs.
Editor role
- Requires a Portal account of any type
- Can edit iGUIDEs, including adding or removing gallery photos, configuring panoramas, changing labels and addresses, and adjusting Edit View options
- Can add or remove other Editors, but can't remove the Manager
- Can only be assigned by someone who already has a Portal account
Manager role
- Requires a Portal account and acts as the owner of an iGUIDE
- Each iGUIDE has only one Manager
- The Operator is the default Manager and can transfer the role to any other Portal account holder
- Has the same editing abilities as an Editor
To assign a new Manager:
- Search for the iGUIDE on the My iGUIDEs page.
- Click the Edit button on the iGUIDE.
- On the left, click iGUIDE Collaborators.
- In the Manager field, type the name or email of the new Manager.
- Select the correct person from the dropdown to confirm.
Subscriber role
- Subscribers receive emailed reports (the iGUIDE Report and the Analytics Report)
- You can add different Subscribers for each report type
- Added by entering an email address
- The only role that doesn't require an iGUIDE Portal account
Primary Contact role
- Sets a single point of contact for clients
- When a Primary Contact is assigned, all other Editors who receive emails are BCC'd instead of CC'd
- Applies to emails such as the iGUIDE Report, lock requests and expiry notifications
- If no Primary Contact is assigned, the Manager and all Editors are CC'd on these emails
Frequently Asked Questions
Q: Why can't I upload my scans?
A: You're probably signed in with a User account. Only Operator accounts and Sub-accounts can upload. If you bought the camera, look for your Operator invitation or contact Support. If you work for an Operator, ask them to invite you as a Sub-account.
Q: Can I sign up for an Operator account or Sub-account myself?
A: No. Both are invitation-only. Operator invitations are sent automatically when a camera is purchased, and Sub-account invitations are sent by the Operator.
Q: My Operator invitation expired or I can't find it. What do I do?
A: Check your spam or junk folder first. If it's not there or the link has expired, contact Support with your camera serial number and we'll send a new invitation.
Q: I already have a User account. Can it become an Operator account?
A: Yes. Contact Support with your camera serial number and the email address on your User account, and we'll convert it.
Q: Can more than one person have an Operator account for the same camera?
A: No. Each camera has one Operator account. Other team members who need to upload should be invited as Sub-accounts.
Q: When should I use Sub-accounts?
A: Use them when several people on your team upload scans and you want one central payment method and access to all of your team's iGUIDEs from the Operator account.
Changing your account email or name
You may need to update your account details when your company changes management or a different person takes over iGUIDE services for your company.
- Log in to the iGUIDE Portal at manage.youriguide.com.
- Click your name in the top-right corner and select Settings.
- Open the Edit Profile tab.
- Enter the new [email address / name] and your current password.
- Click Change to save. Your updates won't be saved without this step.
Multi-factor authentication (MFA) is required on all Portal accounts. If the new owner will use a different phone or authenticator app, see Setting up Multi-Factor Authentication (MFA) on the iGUIDE Portal.
If you sell or buy a used camera
An Operator account is tied to its camera, so it can't be handed over by changing the account's email or name.
- New owner: Contact Support with the camera serial number to set up your Operator account.
- Previous owner: If you have no other cameras, your account becomes a User account. You can still view and edit your existing iGUIDEs, but you can't place new orders.
